User management guide

As an administrator, you control who accesses your DocuBot workspace. You manage user accounts, assign roles, and ensure your team has the correct permissions to maintain your documentation sites.

Overview of user management

You manage all user access through the central dashboard. Maintaining accurate user records ensures that only authorized team members can configure repositories, trigger sync jobs, or modify documentation styles.

Adding new users

You can invite new team members to collaborate on your documentation projects.

  1. Open the user management section in your workspace settings.
  2. Enter the email address of the person you want to invite.
  3. Select an initial role for the user based on the level of access they require.
  4. Send the invitation.

The system sends an automated email to the user. Once they sign in using their Google account, they gain access to the workspace with the role you assigned.

Assigning and updating roles

You can modify a user’s role at any time to adjust their permissions as their responsibilities change.

  1. Locate the user in your active users list.
  2. Select the new role from the dropdown menu.
  3. Confirm the change to update their access.

The new permissions take effect immediately. If a user is currently signed in, their access level updates on their next action.

Removing or deactivating users

When a team member no longer requires access to the workspace, you can revoke their permissions.

  • Deactivation: This suspends the user’s ability to sign in but preserves their account details and activity history. You can reactivate a deactivated user at any time.
  • Deletion: This permanently removes the user from the workspace.

Data impact

Revoking access has specific effects on workspace data:

  • Documentation sites: All documentation sites and URL slugs remain active and public.
  • Sync jobs: Scheduled syncs continue to run as configured.
  • Ownership: Any repositories owned by a deleted user must be reassigned to a new owner to ensure continued management.
  • Audit logs: History records for sync jobs and configuration changes are preserved, but the associated user profile is removed.
